How workflows work

Set a trigger, add the steps and choose how often it runs.

Create workflows for your entire office, or by or for specific agents
Set a workflow to disable after running once, delete after running once, or run continuously
Install ready-made workflow templates at the click of a button, then customise them however you want
Run a workflow manually, at a specific date and time, or from a website form or page using a tracking pixel

Triggers

Start a workflow when something happens in your agency.

Contacts: new contacts, appraisal requests, open home attendance, enquiries, lease applications, hot or warm status, birthdays and pipeline stage changes
Appraisals and proposals: proposals sent, accepted or rejected, and properties listed or sold by another agent since the appraisal
Listings: going live, price changes, under contract, sold or leased, and archived or withdrawn
Inspections and open homes: created, the day before, the morning of, deleted and completed
Tenancies: applications, approvals, maintenance requests, routine inspections, lease expiry, smoke alarm and pool compliance expiry, and overdue rent
Offers: recorded, submitted, sent to the vendor, accepted, countered, withdrawn or declined
Contracts: created, overdue, deposit received, finance approved, unconditional, settled, cancelled or deleted

Actions and conditions

Arrange steps in any order with drag and drop, and branch on what contacts do.

Wait a set amount of time, for example 12 months after a contact is added
Create a task, send an email or send an SMS
Change a contact's status, for example to cold, warm, hot or converted
Send a vendor report showing enquiries and open home feedback for a listing
Check whether an email campaign was opened or a link was clicked, and wait a set time for it to happen
Check whether a contact's status has changed or a website tracking pixel has been triggered
Jump to a specific step when a condition is met, for example resending a campaign to people who did not open it within 7 days
